Business Support Administrator

Part-time (3-4 days per week) | Permanent

We are seeking an experienced Administrator to support our teams in delivering exceptional client service in a regulated environment.

The Role

This is a varied and central role where you’ll support business, operational, and administrative activities and financial processes while ensuring compliance with industry standards. You’ll work closely with cross-functional teams, as well as interacting with external clients.

Key responsibilities
  • Manage client documentation including NDAs and service agreements
  • Maintain and update CRM systems and customer records
  • Support preparation and issuing of quotations and standard documentation
  • Coordinate client communications and business updates
  • Support contract management, including tracking, storage, and updates
  • Assist with invoicing processes and purchase order administration
  • Organise meetings, including scheduling, minute-taking, and action tracking
  • Maintain accurate records in line with quality and regulatory standards
  • Support preparation of reports, presentations, and business documentation
  • Provide general administrative support, including travel and event coordination
About You

We are looking for someone who is organised, detail-oriented, and motivated to support business operations within a fast-paced, regulated environment. You bring experience in administrative, coordination, or business support roles and take pride in delivering high-quality, accurate work.

You understand the importance of working within structured processes and handling controlled documentation with care and precision. You are confident using IT systems, including Microsoft Office and CRM or document management tools, to support efficient and compliant workflows.

Essential / Preferred
  • Experience in an administrative, coordination, or business support role (ideally within pharmaceutical, life sciences, or manufacturing environments)
  • Strong organisational and time-management skills, with the ability to manage multiple priorities
  • Excellent communication skills, with the ability to interact professionally with internal teams and external clients
  • High level of attention to detail, particularly when handling controlled documentation
  • Strong IT skills, including Microsoft Office and experience with CRM or document management systems
  • Ability to maintain confidentiality and handle sensitive commercial and client information
Advantageous Experience
  • Experience working within a CDMO, pharmaceutical, biotech, or regulated environment (e.g. GMP/GxP)
  • Exposure to contract management, service agreements, or quality systems
  • Experience supporting financial processes such as invoicing and purchase orders
  • Familiarity with digital communications, including client updates or newsletters
